Google Business Profile: the complete checklist for local businesses
A well-optimized Google Business Profile uses the company’s real name, the most specific primary category available, a correctly set address or service area, up-to-date hours, a list of services, real photos and replies to reviews. The checklist below covers everything we check when we optimize a profile, in the order we recommend you work through it.
Why your profile matters to AI assistants too
Google Business Profile (formerly Google My Business) is your company’s listing in Google Search and Google Maps. For a local business, it is often the customer’s first contact with the brand. AI assistants also draw on this information when they recommend providers in a given area: the category, hours, reviews and services. A profile that is incomplete or contradicts your website makes it less likely that your business gets recommended.
The basics
- The company’s real name. The one on your storefront, your website and your documents. Google’s rules do not allow slogans, services, locations or phone numbers in the name. „X Dental Clinic” is fine; „X Dental Clinic, dental implants Iași” is not.
- The most specific primary category. „Dental clinic” rather than „Medical clinic”, „Italian restaurant” rather than „Restaurant”. The primary category carries the most weight.
- A few relevant secondary categories. Only for work the company actually does, not as a way to add keywords.
- Address or service area. If customers come to your premises, enter the exact address. If you go to them (plumbing and heating, home care, repairs), set a service area and hide the address. PO boxes and virtual offices are not accepted.
- A local phone number the company controls. The same number as on your website.
- Website. A link to the company website or the location page, not to Facebook.
- Hours. Your real opening hours, plus special hours for public holidays. Businesses that work by appointment only can choose not to show hours.
Profile content
- Description. What the company does, who it serves, where it operates and what sets it apart. No links, no promotional offers, no all-caps text and no strings of keywords. The first lines should answer the question „What does this company do?”
- Services or products. List every important service with a short description and, where possible, a guide price.
- Attributes. Accessibility, payment methods, parking, Wi-Fi, online booking. Tick only what is true.
- Real photos. The storefront (so people can find you easily), the interior, the team, your work or your products. Add new photos regularly and avoid stock images.
- Booking or appointment links, if you use an online system.
- Posts. News, offers, events. They are optional, but they show the profile is actively managed.
Reviews
- A direct review link. You will find it in your profile, under the option to ask for reviews. Send it to customers after each completed job, by email or WhatsApp.
- Consistency, not one-off campaigns. A few new reviews every month count for more than 30 in one week followed by months of silence.
- Replies to every review. Thank people for positive reviews and answer negative ones calmly and to the point, without getting drawn into a public argument.
- No bought or incentivized reviews. This breaks Google’s rules and can lead to reviews being removed or the profile being restricted.
Consistency with your other online sources
Google and AI assistants compare information across several sources. Make sure your details are identical:
- on your website, including the page footer and the contact page;
- on your Facebook page and Instagram profile;
- in the directories for your industry and on booking or delivery platforms;
- in your website’s structured data (LocalBusiness or the type that matches your business). More in our guide to structured data.
Common mistakes
- Keywords in the business name. These can get your profile suspended.
- Duplicate profiles for the same location, created over the years by different people.
- Holiday hours left out of date. This leads to negative reviews from customers who found you closed.
- Losing access. The profile is managed from a former employee’s or an agency’s account. Make sure the primary owner role belongs to the company.
How long an optimization takes
A full optimization usually takes two to three working days. It covers checking and correcting your details, categories, services, description and photos, plus a plan for collecting reviews. After that, the profile needs monthly upkeep: new photos, replies to reviews, special holiday hours.
If you would rather we handle it, Google Business Profile optimization is available as a fixed-price service. For local businesses in Iași, see also our page on local services.
Frequently asked questions
Can I have a Google profile without premises open to the public?
Yes, as a service-area business, if you travel to your customers. Your address stays hidden and the profile shows the area you cover. Businesses that operate only online are not eligible.
How can I remove a fake review?
You can report it from your profile if it breaks Google’s rules: spam, conflict of interest or offensive content. Reviews cannot be removed just because they are negative. Sometimes a calm, professional reply is the best answer.
Do keywords in the description matter?
The description should explain clearly what the company does. Mentioning your services and area naturally is useful, but stuffing it with keywords does not help and may break the rules.
How often should I update my profile?
We recommend a monthly check: new reviews, photos, special hours. Any change to your phone number, address or services should be updated right away.
